Who we are

We are Vixen Media Studios (VMS).

We maintain a safe and clean working environment and provide you with access to the building and booked room(s). We have outlined our TERMS & CONDITIONS as well as HOUSE RULES for the safety and comfort of everyone.

Please read them carefully before you book.


Booking process

  • To make a reservation or booking, customers must provide accurate and complete information, including your contact details as stated in the contact form.
  • An email will be sent to you with the necessary payment information and to confirm the availability.
  • To secure the booking all payment must be made in advance
  • Reservations are subject to availability and are not confirmed until all payment is received by VMS.
  • Any changes or cancellations to reservations must be made in accordance with our cancellation policy.
  • Detailed instructions on how to enter the building including access codes and address will be sent no earlier than 48 hours prior to your booked slot and only after all payments are received.

Payment

  • All payments must be made via bank transfer.
  • Payment for services must be made in advance for the booking to be confirmed.
  • VMS reserves the right to change pricing and payment terms at any time, without prior notice.

Cancellation policy

  • Cancellations must be made no later than 48 hours before the start time of your booked slot to be eligible for a refund.
  • In the event that we are compelled to cancel a booking due to unforeseen circumstances beyond our control, such as natural disasters, flooding, or other force majeure, we will make every effort to reschedule the booking at a mutually convenient time.
  • VMS can cancel any bookings without any reasons.
  • If you cancel up to 48h prior to your booked slot, payments made will be refunded within 48h.

Next and same day bookings

  • Next and same day bookings are possible but depending on availability
  • As these are within the 48 hour period prior to the booked slot, no refund will be paid in the event of a cancellation.

Access to building and rooms

  • Access codes are sent no earlier than 48 hours before the start time of your booking slot.
  • Access codes are only sent if payment is received.
  • Access to your booked room is granted 20 minutes either side of your booking for preparation and wrap-up.
  • In the event that the provided access code fails to grant entry, please promptly reach out to our team via email or contact details provided in the confirmation email.
  • Please note that we are not responsible for any fees or costs incurred by the customer, including but not limited to travel expenses, accommodation costs, or any other related charges. It is the responsibility of the customer to make any necessary arrangements and bear any associated expenses resulting from the rescheduling.

Liability and Indemnification

  • VMS is not liable for any loss, damage, or theft of personal belongings or equipment during your use of our facilities.
  • You are responsible for your own activities while in the studio.
  • We do not accept any responsibility for any personal injury sustained in the studio during your hire or any damage or loss of personal items.
  • By entering the venue, you agree to these terms.

Liability for Injuries

  • VMS is not responsible for any injuries sustained by individuals inside the studio that are beyond our control.
  • This includes, but is not limited to, injuries resulting from the misuse of equipment, failure to follow safety guidelines, or any actions taken by individuals that are not aligned with our operational protocols.

Safety and Equipment Maintenance

  • We conduct regular inspections of all anchor points, equipment, and facilities to ensure they are secure and in good working condition.
  • However, despite our diligent efforts, we cannot guarantee against unforeseen incidents or user-related errors.
  • The users are responsible to check any equipment prior to use.

Equipment provided

  • Our equipment is cleaned and sanatised regularly.
  • All our rooms are equipped with a selection of toys and items.
  • The studio and its content must be used responsibly. The cost of repairs, damage caused by misuse or replacement for missing items will be charged.
  • VMS is not responsible for any potential contamination that may occur during the usage of our equipment.
  • Cleaning and sanatising equipment is provided in each room for your use.

Responsibility for Actions

  • VMS does not assume responsibility for any injuries or damages caused by the actions of individuals within the studio, particularly those resulting from foul play, negligence, or disregard for safety measures.

Use at your own risk

  • By using our facilities, all clients and visitors acknowledge that they do so at their own risk.
  • It is the responsibility of each individual to ensure they are using equipment safely and appropriately.
  • VMS is not liable for any adverse effects or consequences resulting from the use of equipment provided at the studio.
  • It is the responsibility of the users to exercise caution and personal discretion when utilising provided equipment.
  • If you’re unsure about how to use a specific equipment, please get in touch with our team.

Termination of services

  • VMS reserves the right to terminate services and access to our studio at any time for non-compliance with these terms and conditions, the non-compliance with the House Rules, or for any other reason deemed appropriate.

Agreement acceptance

  • By confirming your booking, you acknowledge and agree to comply with the booking policy.
  • You acknowledge that we may charge you in the event of damages or missing items that exceed normal wear and tear.

Legal Enforcement

  • VMS reserves the right to take legal action for unpaid charges, including recovery by third-party debt collection.

Changes to Terms and Conditions

  • VMS may modify these terms and conditions at any time, without prior notice.

Items for sale

This section only applies to the items for sale section of this website.

If you choose to buy an item from the items for sale list, expressed by selecting the appropriate option in the contact form, you agree that we may contact you to facilitate that request. We will confirm the availability of your desired item(s), ask for a valid shipping address and send you the payment details with the total amount to pay (price + shipping cost).

Once payment is received, your items will be shipped.

Cookies

This website does not use any third-party tracking cookies. Cookies required for functionality may operate on this site.

Who we share your data with

For the purpose of ease and security, your name and hire times can be shared with other hires or staff at VMS.

How long we retain your data

Data supplied via the contact forms or email can be stored for administrative, security, or legal purposes (i.e. recurrent bookings) and may be deleted upon request or once the purpose of the enquiry has expired.

What rights you have over your data

If you have used the contact forms on this website, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where your data is sent

Contact form entries may be checked through an automated spam detection service.
